The CRM for personal trainers
Your clients, their sessions on a calendar, regular weekly sessions that repeat, a reminder before each one so fewer are missed, and an invoice at the end of the month: for personal trainers who train at a gym, a studio, a park or the client’s home.
A diary of sessions that fills itself with your regulars
Put each client’s session on the calendar with where it happens. A regular weekly session repeats on its own, so you only deal with the changes. Clients are reminded two days before and on the morning by email, and by text on Growth and above, so fewer sessions are missed. If you work with other trainers, each sees their own day.
Notes go on the client’s record: what the last session covered, what to work on next and anything to keep in mind, such as an injury the client has told you about.
- A diary with where each session happens
- Regular sessions that repeat
- Reminders by email and text
- Notes on each client
A price list for sessions, and the qualifications and insurance you must keep up
The starter price list has sessions of an hour and half an hour, a consultation and fitness assessment, a small group session, an outdoor session and a programme review, each with a checklist that starts with checking the client is well enough to exercise. Keep each trainer’s qualifications, first aid, DBS check and safeguarding training with an expiry reminder, your public liability and professional insurance certificates, and the risk assessment for training sessions, which your trainers see on the session.
Invoice a client at the end of the month, and take payment online. Sales Base keeps your records and reminders. It gives no medical or nutrition advice and does not replace the rules that apply to your training, and the starter assessment and checklists are examples to read and edit.
- Starter services with checklists
- Qualifications and checks with expiry reminders
- Insurance certificates in one place
- Invoices and online payment
Quote, invoice and get paid
Send a numbered quote as a PDF that the customer can accept online, then an invoice with VAT from your own email address. On Growth and above customers can pay by card, PayPal or Direct Debit from the invoice, and payment reminders chase the late ones.
